Power BI Interview Questions for Freshers (2026): 35 Questions with Answers

Short answer: Power BI interviews for freshers test four areas: getting and cleaning data in Power Query, building a good data model (star schema, relationships, a date table), writing DAX (measures vs calculated columns, row and filter context, CALCULATE, time intelligence), and sharing securely in the Power BI Service (workspaces, refresh, row-level security). Most interviews also include a practical task: build a small report from a dataset, or explain a dashboard you made. Show that you can turn a business question into the right model and measure.

Power BI basics

1. What is Power BI?

Microsoft’s business intelligence platform for connecting to data, cleaning and modelling it, and building interactive reports and dashboards that can be shared across an organisation.

2. What are the main components?

Component Used for
Power BI Desktop Free Windows app for connecting data, Power Query, modelling, DAX and building reports
Power BI Service Cloud service for publishing, sharing, scheduled refresh, apps and dashboards
Power BI Mobile Viewing reports and dashboards on phones and tablets
On-premises data gateway Refreshing cloud reports from data sources inside a company network
Power BI Report Server Hosting reports on-premises for organisations that cannot use the cloud

3. What is the difference between a report and a dashboard?

A report has one or more pages of interactive visuals built from one semantic model (dataset). A dashboard is a single-page canvas in the Power BI Service made of tiles pinned from one or more reports, used for at-a-glance monitoring.

4. What is the typical Power BI workflow?

Connect to sources → clean and shape in Power Query → build the data model and relationships → write DAX measures → design report visuals → publish to the Service → set up refresh, sharing and security.

Power Query and data sources

5. What is Power Query?

The data preparation engine in Power BI (and Excel). Every transformation you apply, such as changing types, removing duplicates or merging tables, is recorded as an applied step written in the M language, so the clean-up repeats automatically on refresh.

6. What is the difference between Import, DirectQuery and Live Connection?

Mode How it works Trade-off
Import Data is loaded and compressed into the Power BI model Fastest and most flexible; data is only as fresh as the last refresh
DirectQuery Queries go to the source every time a visual loads Near real-time data; slower visuals and some DAX and modelling limits
Live Connection Connects to an existing published model or Analysis Services Reuses a central model; you cannot change the model in your report

7. What is the difference between Merge and Append?

Merge joins two queries side by side on matching columns, like a SQL join (left, inner, full outer and so on). Append stacks queries with the same columns on top of each other, like SQL UNION ALL, for example combining monthly sales files.

8. What are pivot and unpivot?

Unpivot turns columns into rows, for example changing Jan, Feb and Mar columns into Month and Value columns, which is the shape Power BI models work best with. Pivot does the opposite.

9. How do you handle data quality issues in Power Query?

Use column profiling and quality indicators to spot errors and blanks, set correct data types early, trim and clean text, remove duplicates, replace or filter errors, and split or merge columns as needed.

Data modelling

10. What is a star schema and why does it matter?

A model with central fact tables (transactions such as sales) linked to dimension tables (descriptive data such as date, product, customer and region). Star schemas make DAX simpler, filters predictable and reports faster, which is why Microsoft recommends them for Power BI.

11. What is the difference between fact and dimension tables?

Fact tables hold numeric events at a defined grain (one row per order line, for example) with keys to dimensions. Dimension tables hold attributes you filter and group by, with one row per item.

12. What do cardinality and cross-filter direction mean?

Cardinality describes how rows relate: one-to-many (the normal dimension-to-fact link), one-to-one or many-to-many. Cross-filter direction controls which way filters flow. Single direction from dimension to fact is the safe default; bidirectional filtering can cause ambiguity and slow reports, so use it sparingly.

13. What is an inactive relationship?

Only one relationship between two tables can be active. Others, such as Ship Date alongside Order Date, are inactive and can be used in a measure with USERELATIONSHIP.

14. Why do you need a dedicated date table?

Time intelligence functions need a continuous date table marked as a date table, with columns such as year, quarter, month and weekday for slicing. Relying on automatic date hierarchies is less flexible and bloats the model.

DAX

15. What is DAX?

Data Analysis Expressions, the formula language for measures, calculated columns and calculated tables in Power BI, Analysis Services and Power Pivot.

16. What is the difference between a measure and a calculated column?

A calculated column is computed row by row when data refreshes and stored in the model, so it uses memory and can be used in slicers. A measure is calculated at query time based on the current filters and is used for aggregations such as totals, ratios and growth. Prefer measures for numbers you aggregate.

17. What are row context and filter context?

Row context means “the current row”, as in a calculated column or an iterator such as SUMX. Filter context is the set of filters coming from slicers, visuals, rows and columns of a matrix, and CALCULATE. Understanding how they interact is the core of DAX.

18. What does CALCULATE do?

It evaluates an expression in a modified filter context, which makes it the most important DAX function.

Mumbai Sales = CALCULATE ( [Total Sales], Customer[City] = "Mumbai" )
Sales % of All = DIVIDE ( [Total Sales], CALCULATE ( [Total Sales], ALL ( Product ) ) )

19. What is the difference between SUM and SUMX?

SUM adds up a single column. SUMX iterates over a table, evaluates an expression for each row and then adds the results, for example SUMX(Sales, Sales[Qty] * Sales[Price]).

20. What do ALL, ALLEXCEPT and REMOVEFILTERS do?

They remove filters. ALL and REMOVEFILTERS clear filters from a table or column (useful for “% of total”), and ALLEXCEPT clears all filters on a table except the columns you specify.

21. Why use DIVIDE instead of the / operator?

DIVIDE(numerator, denominator) handles division by zero safely and can return an alternative result instead of an error.

22. What are time intelligence functions?

Sales YTD = TOTALYTD ( [Total Sales], 'Date'[Date] )
Sales LY = CALCULATE ( [Total Sales], SAMEPERIODLASTYEAR ( 'Date'[Date] ) )
YoY % = DIVIDE ( [Total Sales] - [Sales LY], [Sales LY] )

23. What are variables in DAX?

VAR stores an intermediate result and RETURN outputs the final value. Variables make measures easier to read and debug and avoid calculating the same expression twice.

24. What is the difference between RELATED and RELATEDTABLE?

RELATED fetches a value from the “one” side of a relationship (for example, a product category into the sales table). RELATEDTABLE returns the related rows from the “many” side.

Visuals and report design

25. How do you choose the right visual?

Line charts for trends over time, bar or column charts for comparing categories, cards for single KPIs, tables and matrices for detail, maps for geography and scatter charts for relationships. Avoid pie charts with many slices.

26. What are drill-down and drill-through?

Drill-down moves through a hierarchy inside the same visual, such as year to quarter to month. Drill-through sends the user to a detail page filtered to the item they right-clicked, such as one customer’s orders.

27. What are bookmarks used for?

Bookmarks save a report state (filters, visibility, page) so you can build buttons for navigation, toggle between views or create guided storytelling.

28. What makes a dashboard good?

It answers specific questions for a specific audience, puts the most important KPI top left, uses consistent colours and formats, keeps to a handful of visuals per page and loads quickly. See how to create professional business dashboards.

Power BI Service, security and AI

29. What are workspaces and apps?

Workspaces are collaboration areas where teams publish and manage content with roles such as Admin, Member, Contributor and Viewer. Apps package content from a workspace for wider distribution to business users.

30. What is row-level security (RLS)?

RLS restricts the rows a user can see. You define roles with DAX filters in Desktop, such as [Region] = "West", or dynamic rules using USERPRINCIPALNAME(), then assign users or groups to roles in the Service.

31. How does scheduled refresh work?

For imported data, you set a refresh schedule in the Service and provide credentials. On-premises sources need a data gateway. Refresh frequency limits depend on the licence.

32. What is Copilot in Power BI?

Microsoft’s AI assistant that can help create report pages, summarise data, suggest and explain DAX, and answer questions about your data, depending on your organisation’s licence and settings. Always check the measures and visuals it produces. Read more in Power BI with AI features.

Scenario questions

33. Your report is slow. What do you check?

Use Performance Analyzer to find slow visuals, reduce the number of visuals per page, remove unused columns and high-cardinality text, prefer measures to calculated columns, avoid bidirectional relationships, use a star schema and consider aggregations or Import mode instead of DirectQuery.

34. A manager says the total in a table does not match the sum of the rows. Why?

The total row evaluates the measure in the total’s filter context, not by adding the visible rows. Measures that use averages, distinct counts or IF logic often behave this way. If the business wants a sum of rows, rewrite the measure with an iterator such as SUMX over the grouping column.

35. How would you build a sales dashboard from raw Excel files?

Ask who will use it and which decisions it supports. Then combine the files in Power Query, clean them, build a star schema with a date table, create core measures (sales, orders, average order value, growth vs last year), design an overview page with drill-through to detail, publish, schedule refresh and apply RLS if regions should see only their data.

Frequently asked questions

Is Power BI enough to get a data analyst job?

Power BI is a strong skill, but most analyst roles also expect Excel and SQL, plus the ability to explain insights. Together with two or three portfolio dashboards, that combination makes freshers competitive.

How much DAX do freshers need?

Be confident with measures vs calculated columns, CALCULATE, SUMX, DIVIDE, ALL and basic time intelligence such as YTD and same period last year. Advanced patterns come with experience.

Is the PL-300 certification worth it?

It is a recognised Microsoft certification and helps your resume stand out, especially without work experience. Employers still weigh practical projects and interview performance more.

Can I learn Power BI on a Mac?

Power BI Desktop runs on Windows only. Mac users typically use a Windows virtual machine or a cloud PC, and can view and edit some content in the Power BI Service in a browser.
